Managing Authors & Affiliations

Add co-authors, claim authorship, and manage author order

Research is collaborative. Learn how to add co-authors to your publications, manage author order, and handle authorship claims.

Adding Authors

When Creating a Publication

You're automatically added as the first author. To add co-authors:

  1. In the Authors section, click "Add Author"
  2. Search for a CUEBES user or enter details manually
  3. Set their position in the author order
  4. Optionally mark them as corresponding author

After Publication

Edit your publication and go to the Authors tab to add more authors.

Author Types

CUEBES Users

If your co-author has a CUEBES account:

  • Search by name or username
  • They'll be linked to their profile
  • The publication appears on their profile
  • They can edit their author entry

External Authors

For co-authors not on CUEBES:

  • Enter their full name
  • Add their affiliation
  • Optionally add their email for notification
  • They can claim authorship later if they join

Author Order

Drag and drop to reorder authors. Common conventions:

  • First author - Primary contributor, did most of the work
  • Last author - Senior author, lab head, supervisor (in some fields)
  • Middle authors - Contributing authors
Note: Author order conventions vary by field. Some fields use alphabetical ordering.

Corresponding Author

The corresponding author is the contact point for the publication. They:

  • Are marked with an envelope icon
  • Handle correspondence about the paper
  • Typically submitted the paper to the journal

To set a corresponding author:

  1. Edit the publication
  2. Go to the Authors section
  3. Check "Corresponding author" for the appropriate person

Author Affiliations

Each author can have their own affiliation:

  • Institution name
  • Department
  • City, Country

This is important because authors may have different institutions.

Contribution Roles (CRediT)

You can specify each author's contribution using the CRediT taxonomy:

  • Conceptualization
  • Methodology
  • Software
  • Validation
  • Formal Analysis
  • Investigation
  • Resources
  • Data Curation
  • Writing - Original Draft
  • Writing - Review & Editing
  • Visualization
  • Supervision
  • Project Administration
  • Funding Acquisition

Claiming Authorship

If you find a publication where you're listed but not linked:

  1. Go to the publication page
  2. Click "Claim Authorship"
  3. The uploader will be notified to confirm
  4. Once confirmed, you're linked to the publication

Inviting Authors

Send an invitation to co-authors not yet on CUEBES:

  1. Add them as an external author with their email
  2. Click "Send Invitation"
  3. They'll receive an email to join and claim authorship

Removing Authors

Only the publication uploader can remove authors:

  1. Edit the publication
  2. Go to the Authors section
  3. Click the remove button next to the author
  4. Confirm the removal
Note: Be careful when removing authors. This should only be done to correct errors, not to remove legitimate contributors.
